Administrative Assistant – Documentation

Job Summary:

Is responsible for maintaining organizational wide control of all quality system records. The assistant will serve as the primary focal point for coordinating the review, amendments, distribution and training of all documented procedures and work instructions and will maintain all records for the defined retention period. The assistant will also ensure compliance to the documented procedures through on-going internal audits.  This is an hourly office position.  This position also known as Document Control Coordinator.

Essential Duties and Responsibilities:

  • Review changes to Quality System documentation to ensure compliance to QMS standards.
  • Coordinates the review, revision, distribution and training of all controlled documents
  • Maintains all Controlled Documents and training records in the Training Software.
  • Responsible for Document retention according to the defined retention periods
  • Responsible for scanning and filing of all MTR’s
  • Responsible for populating various Quality Logs with information used for certification
  • Coordinates the Suggestion For Improvement Program
  • Coordinates the Nonconformance Program
  • Coordinates the Employee Development Plan training program
  • Prepares and publishes the reports

Requirements:

  • High School diploma required.  College degree in an accredited related curriculum preferred, or experience equivalent or equivalent combination of education and
    experience
  • Demonstrates experience with and skilled used of: word processing, spreadsheets, and databases.
  • Ability to read and interpret documents such as operating instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak and project a professional image to visitors and customers including a strong emphasis on written communication and oral presentation.
  • Will be required to work from our location in Lewis Run, PA.
