Sales Administrative Assistant

Job Description

Job Summary:

Provide administrative support to the sales staff and South Avenue manufacturing. Duties include general clerical, reception, and project based work. Additional duties include designated sales activities within the product groups. Project a professional company image through in-person and phone interaction.

Essential Duties include, but are not limited to:

  • Answer and distribute incoming phone calls. Manage company email inboxes. Greet and assist visitors. Call on existing customers. Field customer complaints/requests and channel accordingly.
  • Works with sales on order documentation and filing, quote follow up, and other admin. d Prepare job folders. Complete job instructions.
  • Assist in handling RFQ’s and order. Assist sales on RGA;s, change orders, and credits as deemed necessary. Collate and distribute weekly sale reports. Assist sales and production scheduling as needed. Process updated purchase orders and adjust selling prices.
  • Manage part quotes, orders, and warranty tracker. Conduct follow-up on open quotes.
  • Keep copier, printer, and fax machine stocked with paper and notify proper personnel when repairs are required. Change ink cartridges as Advise purchasing when office supplies are running low. Sort and distribute mail internally.
  • Assist Data Entry personnel with entering labor. Enter customer data into ERP system.
  • Performs additional duties/tasks as assigned.

Education and/or Experience Required:

  • High school diploma or equivalent, some college preferred.
  • Three to five years of administrative assistant experience preferred.

Skills Required:

  • The ability to communicate in English both written and verbal with excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office and enterprise resource planning type software.
  • Knowledge of telephone and virtual conferencing protocol.
  • Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

Hourly position. M-F 8 am – 5 pm.

Position requires reliable transportation to move from one building location to another in Lewis Run, PA.
